Car workshop management system in Singapore
Workshop systems that book bays and mechanics, keep job cards and service history per vehicle, and send quotes for the owner to approve.
A typical workflow
- Owner books a service slot
- Bay and mechanic assigned
- Owner approves or declines extra work
- Job card closes into an invoice
What this sector needs
Service history belongs to the vehicle. Each visit is saved against the plate number with mileage, work done and parts fitted, and when a car changes owner, the history stays while the new owner's contact details replace the old ones.
Bookings reserve a bay and a mechanic for an estimated time by job type, such as a routine service or an aircon check. A car waiting for parts can come off the bay without losing its place in the job list.
A job card holds the customer's complaint, inspection findings with photos, parts and labour lines, the assigned mechanic and a status the front desk can check without walking to the bay.
Extra work goes to the owner as a quote link with photos and a price per item. The owner approves or declines each line, and the time of each decision is saved on the job card before work starts.
Parts used on a job are recorded by part number, so the invoice, the stock count and the vehicle's history all show the same part.
Which existing tools can it connect to?
- WhatsApp or SMS for quote links and collection notices
- Accounting software such as Xero for invoices
- Your parts stock list or suppliers' price lists
- A booking form on your website
What needs a separate scope?
Several branches, parts stock with supplier ordering, fleet customer accounts and connections to existing workshop software need more requirements and review.
Should we buy packaged workshop software instead?
If a packaged system already fits how you book, quote and invoice, buying it is usually cheaper. A custom system makes sense when your approval steps, fleet accounts or branch setup don't fit, or it has to connect to tools the package won't.
Do car owners need to install an app to approve a quote?
No. The quote opens from a link sent by WhatsApp, SMS or email, and the owner approves or declines each item in the browser.
Can we bring in our old service records?
Usually, if they exist as spreadsheets or exports from your current software. Paper job cards would have to be typed in, so many workshops start with recent records and add older ones as cars come back.
