Approval records the decision. Stock changes only when goods are received.
What should become easier.
The issue usually appears before the brief.
- Work is coordinated in group chats and held together by one person's memory.
- Every approval returns to the same manager, and stalls there.
- No one can see what is waiting, who owns it or what happens next.
- The same information is typed again into two or three different tools.
What changes
- Visible ownership and status
- Fewer manual handoffs
- Clear approval and exception paths
- A dependable operational record
The practical details.
What’s included, what it connects to and how it works.
How the work can move.
- Someone submits a request
- It goes to the person responsible
- Staff record progress and decisions
- People receive updates when needed
- Overdue or unusual requests are flagged
An example in practice
A supervisor submits a purchase request from their phone with a photo and an amount. The workflow checks the required fields, routes it to the approver whose authority covers that amount, and records the decision with its reason. Anything still waiting after the agreed window appears on the manager's exception list instead of disappearing into a chat thread.
How far can we take it?
A starting point
One request-to-completion workflow with a submission form, work queue, named roles, status history and overdue reminders. Agree how rejected, cancelled and incomplete requests are handled.
Additional work to consider
Multi-location logic, complex allocation, migration, large permission models or several interdependent workflows.
What can it connect to?
- Web and mobile request forms
- Email and WhatsApp notifications
- Sign-in, roles and permissions
- Existing spreadsheets and records
- Calendars and schedules
- Existing tools via their APIs
We’ll check what your existing tools let us access before including a connection in the plan.
Do we need to replace every existing tool?
Usually not. We first check what works today. The plan may connect your existing tools or replace just one part of the process.
Can the process change after launch?
Yes. Rules, screens and reminders can be adjusted. We agree the work and cost of changes through your support arrangement.
