What should become easier.

The issue usually appears before the brief.

  • Staff read and retype the same kind of document every week.
  • The answer exists in a file somewhere, but no one can find it quickly.
  • Information is copied by hand from a PDF into another system.
  • Mistakes are only discovered after the data has already been entered.

What changes

  • Less time copying from documents
  • Company information staff can search
  • Links back to the original files
  • Uncertain details sent to staff for checking

The practical details.

What’s included, what it connects to and how it works.

How the work can move.
  1. A file or question arrives
  2. The tool reads the relevant information
  3. Agreed checks are applied
  4. A record or answer is prepared
  5. Staff check uncertain details
An example in practice

Supplier invoices arrive by email in a dozen different layouts. The system reads each one, extracts supplier, dates, line items and totals, and checks them against the purchase record. Anything that does not match — or that the system is not confident about — reaches a person with the original document and the uncertain field highlighted.

How far can we take it?

A starting point

Start with one document family or one knowledge collection. For extraction, deliver defined fields and a review queue; for search, deliver source-linked answers and an agreed refresh process.

Additional work to consider

Enterprise search, large knowledge environments, complex evaluation, sensitive data controls or many document families.

What can it connect to?
  • Email inboxes and shared drives
  • PDFs, scans, forms and spreadsheets
  • Google Docs and similar editing tools
  • Approved knowledge sources for search
  • Destination records and systems via their APIs

We’ll check what your existing tools let us access before including a connection in the plan.

Can AI read every document accurately?

No. Blurred scans, handwriting and unusual layouts can cause mistakes. We test sample documents and plan staff checks before accepting important details.

Can it search our company files?

Yes, if the files can be accessed and read. The plan should keep access rules in place, link answers to their source and explain how changed files are updated.
